Order processing
Email in, order out
Incoming emails with orders are read by the AI agent, validated, and automatically created as orders in the ERP. The agent identifies customers by sender address, checks availability and prices, and queries unclear cases. Typical rate: 80-90% fully automated orders without manual intervention.
Invoicing
Generated and sent automatically
As soon as an order is delivered or a service rendered, the system creates the invoice automatically, validates tax rate and payment terms, sends it by email, and files it in audit-proof archive. Dunning levels are also triggered automatically.
Inventory
Reorders at minimum stock level
The agent monitors stock continuously, forecasts needs based on historical sales and seasonality, and triggers supplier orders when minimum stock is reached. Goods receipts are auto-posted, inventory differences flagged.
Purchasing
Demand-driven, no forms
Requirements from departments are consolidated, the agent compares supplier conditions and creates purchase requests. With approved master agreements, ordering happens directly. Goods receipts are matched against orders, discrepancies auto-claimed.
Customer support
AI replies, knows the customer
Incoming support requests by email or chat are classified by the agent. Standard questions (delivery status, invoice copy, warranty) are answered directly - the agent knows the customer and their history. Complex cases are handed to the team with template and context.
Returns
Automatic flow, zero clicks
Return requests are checked, shipping labels generated, the customer gets an automatic confirmation. On goods receipt, condition is recorded, stock corrected, and refund triggered. The full chain runs without manual intervention.
CRM & sales
Lead qualification by AI
Incoming leads from web forms or calls are automatically qualified: industry, company size, need and urgency are determined by the agent and leads are prioritized. Sales reps get hot leads first, with all relevant context.
Accounting
Recognise, post, archive receipts
Receipts are OCR-recognized, the agent extracts vendor, date, amounts and tax and creates a posting suggestion with correct account allocation. Recurring receipts are recognized and posted automatically. Tax advisor gets a tidy monthly DATEV export.
Voice control
Speak, don't type
Instead of clicking through menus, you speak commands: "Create a quote for Mueller GmbH for 500 pieces of article A." The agent understands the context, asks back if needed, and creates the quote. Works via mobile app or office headset.
HR & people
Time-off, time tracking
Time-off requests, sick notes and travel expense reports are taken by the agent, checked against remaining vacation and substitution rules, and forwarded to managers for approval. Time tracking runs via app or web, the agent reminds when forgotten.
Reports & dashboards

companies of every size – from order processing to full-scale process automation. My approach: listen,
understand, build the right system together.
The intro consultation is free and non-binding. A typical onboarding project ranges from 8,000 to 30,000 EUR one-time, depending on the number of processes to automate. Monthly hosting and maintenance starts at 99 EUR. The exact cost depends on your setup and is calculated transparently in the first call. There are no ERP license fees – Odoo Community is open source.
How long does the rollout take?
Discovery and requirements: 1–2 weeks. Base system with your master data: 2–4 weeks. AI agents for first processes: 2–3 weeks per process. You’re typically productive 6–12 weeks after project start. Additional agents and automations are added continuously – the system grows with you.
Which business processes can AI agents automate?
Typical: order capture from emails, invoicing and dispatch, inventory with automatic reordering, accounting with OCR and account allocation, first-level customer support, CRM with lead qualification, plus HR topics like time-off and travel expense requests. Rule of thumb: if a process is currently «clicked through» manually and follows clear logic, an AI agent can handle it.
Is tentacl GDPR-compliant?
Yes. All systems run on German servers at Hetzner (Falkenstein). Data does not leave the EU. A Data Processing Agreement (DPA) can be signed on request. The AI agents use Anthropic Claude via the AWS EU endpoint – data stays in the EU here too. You retain full control: which data an agent may access is configured per process.
Which company size is tentacl suitable for?
The sweet spot is 5 to 100 employees – classic mid-market. For very small companies, the effort often outweighs the time saved. For larger companies (200+), in-house IT and bigger ERP systems are usually in place, where AI agents can be integrated as a complement. tentacl is industry-agnostic – retail, services, manufacturing and real estate are typical.
Which ERP system is used?
tentacl uses Odoo 18 as the ERP core – an established open-source system with over 7 million users worldwide. Odoo covers CRM, accounting, inventory, purchasing, HR and more. AI agents are built on top as an additional layer. If you already use another ERP (SAP, Microsoft Dynamics, Sage), an integration is possible instead of a full switch.
